This feature is only available to those organisations that use Profiles.
The Username Management modal allows for the SuperCRM admin to manage the details of a person's username. It allows the admin to assist their members if login details are forgotten, and allows for a person's profile to be merged if there are multiple instances.
The Username button will only display if there is a username for that person associated to your organisation.

Actions available to SuperCRM admins
SuperCRM admins can only view username details to the level of their organisation in the hierarchy.
- Club/School: Username of the person only associated to the Club/School.
- Regional body: Usernames of the person from all Clubs/Schools associated to that RSO.
- National body: Usernames of the person from all Clubs/Schools from all Centres/Associations.
SuperCRM admins can do the following...
- Update a persons username.
- Reset a person's password.
- Email a new verification email.
- Delete the username linked to a person so a merge can be actioned.
SuperCRM admins can view the following...
- The persons username.
- The email associated to the username.
- The date which the person signed up.
- The date which the person last logged in.
- Whether or not the person's email has been verified.
Any changes made to a person's username are tracked within the audit trail of the specific person. The details recorded only show which SuperCRM admin made changes to the person's username, and when.
The Username Management feature
1. Go to the persons SuperCRM profile.
2. On the Profile tab, click Username.
3. The Username Management modal will pop-up displaying the person's user details.
From here, you can do the following to the username;
a) Email
b) Edit
c) Delete
a) Email
Click the mail icon to send an email for user account verification to the person, or if the person has forgotten their username.
Once the email has been sent, you will see confirmation appear on screen. Click Ok to close the pop-up.
The person will receive an email which provides their username and a link to verify their email address.
b) Edit
Click the Edit pencil to edit the person's username, associated email address, or to reset their password.
Click Save once you've made the necessary changes.
Any changes made will be logged within the Audit tab. The admin who made the change will be logged, what they changed, and when the modification was made. For security purposes, the old value and new value will be hidden.
c) Delete
To delete the user, click the Red Trash Can icon. This is an action that you cannot undo, so treat this with care. You will be prompted to confirm that you want to delete the user.
Merging person accounts
If there are two or more records of the same person in the SuperCRM but with different usernames, Sporty will not perform a system merge. To merge the duplicate records, a manual merge needs to be actioned and the first step is to delete the username of one of the duplicate accounts.
1. Review the duplicate person records and identify the person record with the username you want to keep. Against the duplicate record (or records) with usernames you do not want to keep, delete the username to break the link associated to this person.
Tip: when deciding which person record to keep, you can base this of their last login date, sign up date, or which record has the best data.
2. Open the person account you choose to delete and click username, then click the delete button.
3. Perform the merge by going to the registrations, duplicates tab. Select the fields you want to retain, then click Link.
