Use the kiosk to sign in and sign out attendees when you are using Attendance Tracking fields. This will record the details against the audit trail in the SuperCRM to capture which attendee, who signed the attendee in and who signed the attendee out.
In this article:
The Sign In / Sign Out Kiosk
The kiosk is found by viewing your Attendance List.
For administrators with SuperCRM access, the kiosk will remain logged in once it has been entered. For all other users, when the kiosk is entered the user will be logged out.
1. Beside your event form found in Online Registrations, click the Attendance List icon.
2. The Attendance List modal will appear displaying the list of attendees.
3. To enter/load the kiosk, click Sign In / Sign out found at the top of the modal in green.
4. Choose which function you'd like to open. By default both functions will be ticked. Click Done to open/load the kiosk on your tablet or other publicly accessible device.
If both Sign In / Sign Out are selected, the kiosk view will be displayed as shown below.
If for instance you have a tablet that is specifically for recording attendances using sign in and sign out, you may want to make the kiosk Fullscreen which you can do by clicking Fullscreen on the top right.
Please note that once the kiosk has been entered and set up on the tablet by the administrator, you will be logged out of your Sporty site. This is to ensure that if the kiosk is closed, no information is available to access unless known Sporty credentials are entered.
Example: selecting Sign Out only.
The kiosk will only display a button to sign out. No other options are made available.
When a registrant is signed out, this view is what will display.
Attendance Sign In
Parent/Guardian Sign In
1. Click Sign In beside the correct attendees name.
The names listed on the kiosk are populated by fields on the event form: Parent/Guardian and Additional Authorised Person. If someone other is signing in or out the attendee, they must select Other and enter their details along with a signature.
For example, Jenny Barnes is signing in Henry Barnes to the event.
Jenny must select her name, then draw her signature in the space provided.
Jenny will then click Save.
The exact time that Jenny clicks Save will be the time that Henry Barnes is recorded as having signed in to the event. This cannot be changed.
Example of using 'Other' to sign in an attendee.
This option may be used if the attendee themself is signing in. They will enter their first and last name into the name space provided, then enter their signature before clicking Save.
Staff Sign In
Staff (who are site administrators) can Sign In an attendee directly from the Attendee List by ticking the Attended checkbox beside the attendees name, this does not require a signature.
Make sure that you click Save on the bottom right before exiting the list or entering the kiosk otherwise the individual/s that have had actions made by staff members will not be saved.
Once saved, open the Attendance List and click the Sign In / Sign Out link to open the kiosk.
For those individuals who have been signed in by staff, a time stamp will be displayed noting the time that the staff member signed them in.
Any actions made, including those by staff will be recorded within the Attendance Audit Trail found in the SuperCRM.
Attendance Sign Out
To sign an attendee out upon pick up, or departure, click Sign Out from the kiosk.
The person signing out the attendee must select their name, or 'Other' if they are not listed, and enter their signature. Remember to click Save once entered.
The kiosk will display as shown below.
When the administrator is logged into their site and viewing the Attendance List, they will now see who had attended and who was due (and who was due but did not attend).
Sign In / Sign Out Audit Trail
Whenever an attendee is signed in or out, this is recorded in their SuperCRM Audit tab. The time, date and who performed the action is captured.
