On request, a database can be imported into Sporty. The import file must be formatted to the requirements outlined in this article. If the file does not meet these requirements, the import will not be possible.

Import file requirements
Before a Database can be imported, a form for this database to be entered into in Online Registrations must have been created. Only fields that have been set up on this form will import data from your file. If your import file has fields that are not on your form, you will not be able to import those fields.
We have attached a downloadable Template Database File.csv to the bottom of this article that has been set up with example data using the correct formatting standards that the system requires.
You can either...
1. Download the Template file we have provided, removing all example data but leaving the first row as this is the column headings, then enter your database into the appropriate columns. Your database file must include the correct headings and have the mandatory fields noted below complete.
2. Download the Template file we have provided and copy the headings in the first row into your database file that you are going to send to us to import for you. Your database file must include the correct headings and have the mandatory fields noted below complete.
3. Copy the field names exactly as they are below into your database import file. Your database file must include the correct headings and have the mandatory fields noted below complete.
Fields marked with an * are mandatory.
Mandatory fields that must be included are First name, Last name and Email. The file will not import without these fields entered.
System fields are to only have one value entered. For example, Parent/Caregiver 1 First Name is to only have the first name of the Parent/Caregiver, i.e. Maria, not Maria/John
Copy the field names exactly as they are noted below into your database file.

- If you do not know the email address, enter a generic email address or create a generic email address that you can use for any contacts that do not provide an email address.

- Options of: Male or Female (by default)

- Options of: NZ European, Maori, Pacific Islander, Asian, or Other
- Phone 1 (Mobile)
- Phone 2 (Home/Alternative)

Other Fields
If you have additional columns that are not system fields, e.g. 'Membership Type' or 'I'd like to receive email communication', enter the name of the field into the first row where the headings are and enter the text exactly as you require it into the column.
Attached is an example file of custom fields on a database import file.
For example...
Availability (a multi-select field) is the field name entered into the top row, and has the options of Monday, Tuesday, Wednesday, Thursday, and Friday.
When entering the fields into the import file that have multiple options, enter them following this format...
Monday,Wednesday,Thursday (no spacing between each option, and ensure that each option is spelt exactly as it is on the form).
Testing your import file
Before you import your entire database into Sporty, save an additional copy of your database file to your computer as a csv. Open this copied file and remove all but 1 or 2 rows of information (the first row with the column headings must be included). Import this saved copy into your database to and review the imported data to ensure that all fields you required were imported correctly.
Importing your database
There are 2 parts to importing your database into Sporty.
- A form must be first created in Online Registrations with all necessary fields added.
- Your database import file must meet the requirements outlined in this article, and any fields that are required to be imported must be set up correctly on the form the file is being imported to.
