An existing database can be imported into Sporty on request. This is a premium feature and there may be a charge associated with this.
The import file must be formatted to the requirements outlined in this article.

Import file requirements
The database is imported into a form that must first have been created via Online Registrations. Fields on the import file must match the question fields on the form.
An example downloadable Template Database File.csv is at the bottom of this article. It includes example data using the correct formatting standards required.
You can either...
1. Download the Template file and copy the column headings in the first row into your database file. This is to ensure the column headings are correct.
2. Copy the column headings into your database import file. Your database file must include the correct headings.
Fields marked with an * are mandatory.
- First name *
- Last name *
- Preferred Name
- Email *
- If you do not know the email address, enter a generic email address or create a generic email address that you can use for any contacts that do not provide an email address.
- Date Of Birth
- Gender
- Options of: Male, Female, Non-binary (by default is Male/Female, optionally include Non-binary)
- Ethnicity
- Options of: NZ European, Maori, Pacific Islander, Asian, or Other
- Phone 1 (Mobile)
- Phone 2 (Home/Alternative)
- Parent/Caregiver 1 First Name
- Parent/Caregiver 1 Last Name

Mandatory fields
Mandatory fields required to import are First name, Last name and Email. These 3 fields must be included. If a persons' record does not have an email address, we suggest using a generic email address.
Ethnicity fields
Ethnicity fields must use the key ethnicity fields of NZ European, Maori, Pacific Islander, Asian, Other. There is the ability to have two key ethnicity fields i.e. Ethnicity and Ethnicity 2, each with a corresponding Ethnicity selection. For example, if a person is Fijian, their Ethnicity would be Pacific Islander, and their Ethnicity selection would be Fijian. For a full list of Ethnicity selections please click here.
Name fields
Check name fields have only one value entered. For example, Parent/Caregiver 1 First Name is to only have the first name of the Parent/Caregiver, i.e. Maria, not Maria/John
Other Fields
If you have additional columns are required, e.g. 'Membership Type' enter the field name into the first row where the headings are and enter the text exactly as you require it into the column.
Attached is an example file of custom fields on a database import file.
For example...
Availability (a multi-select field) is the field name, which has the options of Monday, Tuesday, Wednesday, Thursday, and Friday.
To import data into this field where the person has selected more than one option the options are to be seperated by a comma with no space. For example following this format...
Monday,Wednesday,Thursday
