Online Payment FAQs

Q. How do we get enabled so that people can pay us by credit card or automated direct debit (account-to-account)?

A. Complete the Debitsuccess application form hereNote that it normally takes approximately 2 business days for approval. Once approved, your website with Sportsground will be activated for you. You can then use the Form Builder to add ‘products’ to any web input form.

Q. What is the transaction fee for accepting payments via credit card or automated direct debit?

A. 4.35% + GST (5% including GST). Note that if your total annual transaction volumes are high, you may qualify for a discounted percentage rate of 2.95% + GST.

Q. Can we add the transaction fee to the amount people pay online?

A. Yes, simply add the transaction fee to the amount you set for your products/services. Since 5% will automatically be deducted as a fee, 95% will be remitted to you once the payment has been processed. So the easy way to calculate the correct total is to divide your price by 0.95. For example, if your price is $50 you would divide this by 0.95 = $52.63. So when 5% of $52.63 is deducted ($2.63), then you will receive your $50 net.

Q. Most banks or merchant services also charge a monthly merchant fee ranging from $10 - $50 per month in addition to the transaction percentage. Is there a monthly merchant fee associated with Sport$pay?

A. No. The flat transaction percentage is the only fee. This saves you from paying fees during months when you are not processing transactions. Sport$pay has no extra hidden fees.

Q. Many merchant services charge an additional 'flagfall' fee or set amount such as $0.40 cents for each transaction in addition to the transaction percentage. This $0.40 effectively increase the transaction percentage by a whole 1% on a $40 transaction. Does Sport$pay charge a flagfall fee on each transaction.

A. No. The flat transaction percentage is the only fee. There is no flagfall fee. Sport$pay has no extra hidden fees.

Q. What happens when someone completes a web form on our website and pays online?

A. Everyone who completes an online form will automatically receive an email confirmation that includes all details of the form. Their record is added to your online member database. Everyone who pays online when they register will automatically also receive a transaction receipt that records the details of the payment they submitted.


Q. What are the advantages of Sport$pay over PayPal and other systems?

A. Sport$pay allows people to pay even if they don’t have a credit card by paying bank-to-bank with direct debit. Also, funds are transferred to your bank account automatically without you needing to initiate remittance.


Q. Can we receive payments through other methods?

A. Yes. Online payments through Sport$pay are optional. If you want people to also be able to pay via cash, cheque or directly into your bank account you can still do this. You can use Online Registrations from Sporty and then manually record these payments in your member database if you wish.


Q. Can we elect to accept credit cards only, not both credit card and direct debit?

A. Yes. When adding online payment products to your form you can tick the checkbox to accept credit cards only.

 

Q. Are credit card details stored anywhere on the Sporty platform?

A. No, absolutely not. Credit card payments are processed securely via Debitsuccess with PCI compliance..


Q. Is there a minimum transaction value?

A. Yes, the total transaction value must be $3 or greater to be processed by Sport$pay.


Q. When do we receive the money?

A. Payments that people make to you are processed by Debitsuccess every week up until each Friday (5pm for direct debit and 11:30pm for credit card). The funds are then automatically paid directly to your bank account each following Wednesday, minus the 5% fee.

Q. What reporting is available?

A. Each instance of payment is recorded automatically against the person's record in your online registrations database. So you can see the payment balance for each person at a glance in your database overview screen (when you click into the database associated with a web form). You can export a database to Excel with just one click, and this file also shows the payment balance along with columns for each product you've added to your web form.  There is also a Payment Transaction report available at the top of the page when you go to your Dashboard > Online Registrations tile.

You can also login to the Debitsuccess admin dashboard to view details of any transaction. Lastly, a detailed transaction summary is automatically emailed to you each Wednesday that includes payments made within the last transaction week. 


Q. What happens if someone elects to pay by direct debit but there are insufficient funds in their bank account?

A. The payer's bank will treat this the same as if the person bounced a cheque and are likely to charge the person a dishonour fee. We will NOT attempt to retry to process the transaction. The failure will appear on your weekly payout report. Note that in such instances the amount will appear as ‘paid’ in your online database and you may be unaware that funds have not been received until you get your cleared payment report each Wednesday. Therefore, if you are delivering expensive products, it is recommended that you wait until payment has cleared before releasing the goods.

Q. Can I set my GST Number to appear on the person's receipt so they can use it as a valid tax invoice?

A. Yes. The payer will receive a transaction receipt to their email after purchasing a product. This email acknowledges that a payment was submitted, but receipt of actual payment is unconfirmed until the funds clear.  You can choose to add your GST number to this receipt by entering your GST number in the GST Number field in the Admin Settings area of your Sporty Dashboard.

Q. How do I reconcile the bulk payouts we receive from Debitsuccess with the invoices raised in Xero

A. Sporty will raise draft invoices automatically in Xero, and each week you'll receive the bulk payout into your bank account relating to all transactions from the previous payment period. The payout will be 'net' meaning that the Sport$pay fees will have automatically been deducted for you. For example, if there were 10 payments of $100 then ten invoices totalling $1,000 would appear in Xero and these transactions would result in a payout of $950 into your bank account (being 4.35% + GST  = 5% off the total value processed).

Essentially, Xero recommends that you simply create a separate current asset account for these transactions that acts as a clearing account. That is, you'll credit the bulk receipt of funds from Debitsuccess to this account, and debit the individual invoices from this account. These debits and credits cancel each other out, with the exception of the merchant fees. So when the pay-out from Debitsuccess appears on your bank reconciliation in Xero, code it to this clearing account (you can set up a bank rule to do this for you). Then, to handle the fees, you simply take the fees total from the payout report and create a manual journal that credits your clearing account and debits the total to your fee expense account. In this way reconciliation is quick and easy without needing to alter individual invoices.
