Required Access: Competitor Relations Officer, Steward, Clerk of the Course, Scrutineer, A Scrutineer, Tech Officer, CoD Auditor
Click the Officials button to bring up the search screen. Licences/Vehicles can be searched or scanned to bring up the licence/vehicle record.
Select the Event
The Events list displays events coming up in the next 7 days or that finished in the last 7 days. The event's name and club are displayed for each permit. If an event has multiple permits, it will display multiple times in the list.
At Event Registrations
Event registrations can be done at the event; this is used more for ClubSport Basic and Advanced events, where a driver could drive in off the street and have a go.
First, the event needs to be downloaded, and you'll get the Registration button. Click this to open a blank event registration form. Once the form is completed, it will register that driver to the event, create a new profile or link it to an existing one, and - if it's a ClubSport Advanced event - create a temporary M-Grade licence.
Event entry fees need to be calculated and collected manually, outside the system.
Scan or Search a Licence
Before you can scan or search for a licence, you must first select an event. The person must be registered and approved to attend the event before they can be searched or scanned. You'll get a message reading "We could not find any matches..." if the licence holder hasn't registered or been approved for the event.
Scan the QR code on the licence holder's digital licence — the licence holder must first bring up their licence on their mobile device.
Search for the surname of the licence holder. Full names can be searched by typing "surname, first name" (note the comma between the surname and first name).
After searching, a search list screen displays if there are multiple results. Click a licence to open the digital licence.
Scan or Search a Vehicle
Any vehicle can be scanned or searched without an event selected, but the menu will be limited to the following options. Other inspections can only be done at an event.
- View Seals
- Authority Card Inspection
- Safety Structure Inspection
- Vehicle History
- Update Vehicle
- Certificate of Description Audit
When an event is selected, the only vehicles that can be searched or scanned are ones associated with licence holders approved to attend that event. You'll get a message reading "We could not find any matches..." if the vehicle isn't linked to an approved event participant.
Scan the QR code on the vehicle record — drivers can print this QR code and stick it to their windscreen to make the process easier for officials.
Search for the vehicle's chassis ID.
