Permit Applications
What happens once I submit my Event Permit Application?
- It's plotted on the events calendar as tentative and SNZ is notified for review. It won't appear as "confirmed" until SNZ approves it.
Can I edit my permit after submitting it?
- Yes, but any edit reverts the permit back to Draft status, and you'll need to resubmit it to SNZ for approval again.
Can competitors register before Speedway NZ approves my permit?
- They can express interest via the calendar while it's pending, but full entry/registration only opens once the permit is approved.
What are the different permit statuses and what do they mean?
- Draft – default, not yet submitted
- Requires Approval – submitted, awaiting SNZ review
- Approved – SNZ has signed off (locked for editing)
- Cancelled – event removed from the calendar
Once Speedway approves my permit, can I still make changes?
- No - once approved, the form is locked and can't be edited by the club
How do I cancel an event after it's been approved?
- You will need to contact Speedway NZ and ask them to change the permit status to be cancelled.
Event Management System / Forms
Can I still add my own custom fields to forms?
- For the Event Registration form specifically, yes — you can add products and additional fields after it's auto-generated. Other event forms retain the standard template structure.
Where do I find all the forms for a specific event?
- They're organized by season/folder within Event Management — clicking into a club or event folder shows every form linked to it.
Does Speedway NZ see our club's event data?
- Yes — Speedway NZ has view access to all clubs' folder structures and can expand into any club's shared event forms.
Event Registration Form
How is the registration form created - do we build it ourselves?
- It's auto-generated form your approved permit using the SNZ Event Registration Template, pulling in event name, dates, location, classes and entry fee automatically.
How do officials register for an event vs. competitors?
- Officials can self-register via the calendar ("Volunteer") or be registered directly by the organiser. Once registered, the organiser can send them correspondence.
How do drivers actually enter an event - through the calendar or the app?
- Both. Drivers can click to enter from the calendar, or enter through the app when you are logged in to your licence.
What happens went an event is full?
- The 'Enter' button becomes 'Express Interest' once the entry limit is reached - effectively a waitlist.
Events Calendar
Can we put this calendar on our own club website, not just the Speedway NZ website?
- Yes - it's a web widget that can be embedded on club websites, and styling/colouring can be customised.
What can the calendar be filtered by?
- Season, Event Type, Licence Class, and Club — and clubs can choose whether to expose or restrict these filters to the public.
What do the different buttons (Express Interest / Enter / Volunteer mean?
- Express Interest – shown before approval/entries open, or once entry limits are reached (joins a watchlist)
- Enter – shown once approved and entries are open
- Volunteer – always available for officials to register
What happens once the entry deadline passes?
- Both "Enter" and "Volunteer" buttons disappear from that event.
Access & Permissions
Who can see/access our club's event folders?
- Access is managed through a new "Events" tab in admin settings. The Events Admin role gets default access to all events; individual access can also be granted per event.
What happens if none of our staff have the Events Admin role enabled?
- The Event Management dashboard icon will be disabled for them. You will need to contact sporty to gain access.
General / Change Management
What's actually changing for us as a club, day to day?
- The main shifts are: permits and registrations now flow through one connected system, and forms are auto-generated (not built from scratch).
What's not included in this initial rollout?
- Driver approval for racing away from home track, starting grid creation, and race results/championship standings.
Who do we contact if something isn't working or we're unsure how to do something?
- Please contact Speedway NZ.
What other solutions might clubs wish to subscribe to separately with Sporty?
- Web design/redesign.
- VIP website (ad-free).
- Custom mobile app with club branding.
- Email volumes that exceed these free 'Fair User' limits.
- Graphic design services.
- More than 2 local web input forms/databases (Speedway NZ official forms are free).

What are the costs for clubs?
- There are no extra costs for clubs to use the Speedway NZ functionality with Sporty. Sporty does offer premium features that clubs may wish to subscribe to.
Does the permit process change how race night actually runs?
- No. The permit process changes but the race night itself, doesn't. What officials and drivers experience and do on the race night, stays the same.
How do we upgrade or "unlock" extra features?
