SuperCRM provides you with the opportunity to run complex filters on your databases to identify, extract information, and communicate with membership subsets. In addition to these filters, you can run some standardized reports to identify members that may require administrative action.
To access these reports, click Reports on the top right-hand bar of the SuperCRM dashboard.
A list of the reports that are available to your organisation will appear. By default, you will see three reports:
Potential duplicates
This report provides a listing of any people that share the same First Name and Last Name, and provides an interactive link to allow you to merge/link two people together if you determine that the two records are the same person.
Sporty automatically links people together if enough personal details match, but this report will display people that do not have enough matching parameters for an automatic match.
How to run this report:
1. Click Potential duplicates, review the email address is correct, then click Send. This will send an email with a csv file attached for you to open and view.
Please note that the email that this is sent to, is the email of the user logged in. Ensure that the correct person has logged in as you cannot overwrite this.
2. When you open the report, it will display two or more lines for each person the system has identified as a potential duplicate.
The person's First name, Last Name, Date of Birth, Email, Address, Phone 1, and Phone 2 will be displayed to allow you to check if any of the values match to allow you to confirm if each instance relates to a single person.
3. When clicking the link, you will be asked to confirm which values you want to keep. Select Accept Updates to confirm the action, and merge (clubs and schools)/link (NSO's and RSO's) the two records into one. If you have identified that these are two individual people and not one person that had been duplicated, select Not a duplicate. This will ensure that the two people are no longer identified as being similar, and will no longer appear in your potential duplicates report.
Debtors report
This report provides a listing of all people that have an outstanding balance associated with any registrations they have submitted.
How to run this report:
1. Click Debtors report, then select Season, Organisation Form, Registration Date To, and Registration Date From.
2. Click Send to email the report to the logged in user.
Please note that you will be prompted with a pop-up to notify you that it may take some time to process the report so to please be patient. Click done when you have read the pop-up.
This report will display the Person's Name, Person ID, Registration Reference, Transaction Reference, the form that is linked to the outstanding payment, the date of registration, and the amount payable, amount paid and the balance owing. If the form has grades and teams associated to it, the grade and team of the person will also be displayed, allowing you to provide team managers with a list of members with outstanding payments due.
Note: Additional bespoke reports can be generated as standardised reports for your organisation. There will be a development fee to populate these reports to your specifications. Please complete this form for further information.
Audit history
This report will capture all changes made in your organisations database. This will include changes made in clubs managed by your organisation.
How to run this report:
1. Click Audit History and enter the date range you wish to check for changes. Then click Send to send the report to the email address of the logged in user.
To prevent information overload, this date range is restricted to a 1-2 day period. If you wish to check for changes across a wider range, multiple reports can be run.
You will soon receive an email containing your report.
The report will read as follows
- Person ID: - The unique identifier for the individual who was changed.
- Person First/Last Name: - Their First/Last Names.
- Changed Date: - When the change occurred.
- Changed By: - Who made the change (i.e. which administrator or "End user" if the change was made by the individual themself).
- Event: - Whether the change was newly created or a modification to existing information.
- Old Value: - The information saved before the change.
- New Value: - The information saved after the change.
