As part of New Zealand Rugby's focus on ensuring a safe environment for Small Blacks and Teenage Rugby, all coaches and managers involved in rugby (where players are aged 18 and under), and all referees are required to undergo Police vetting.
When these participants register for rugby, they will be asked if they are involved with Under 18 players, and if so, are required to consent to Police Vetting, and provide their Drivers Licence number to allow the Police Vetting to be completed.
If a person has not recently received a Police Vetting clearance from New Zealand Rugby, Sporty will display that the person's identification needs to be verified by an authorised Club or School delegate. Verification requires the authorised delegate to sight the provided photo identification and confirm this against the registration record.
To check which participants at your Club or School require their ID to be verified so that they can be Police Vetted, you can run a report, or view your Online Registrations or Teambuilder database.
Online Registrations
Sporty will display the verification requirement in the Online Registrations databases for Coach, Admin/Volunteer or Referees.
- If the person has an ! mark, they need their ID to be verified.
- If the person has a ✓, they have consented to Vetting, and their ID has already been verified.
- If the person does not display a symbol, they nominated that they are not involved with participants under 18, and therefore do not require Police Vetting.
To verify a person's ID, click the ! mark to open their record and scroll to the section Police Vetting Requirements. Check the Physical Drivers Licence shown to you by the participant, and ensure this belongs to the participant and matches the Drivers Licence number on the registration form. Check the ID Verified field and click Submit.
In the summary view, the ! will change to a ✓. The person will now have their record sent for Police Vetting.
Teambuilder
Sporty will also display the verification requirement in Teambuilder for Coach, Admin/Volunteer or Referees.
Coaches or Volunteers that have not been made active or have an ID verification requirement will be displayed with Red text. In addition, the ID verified column will display their verification requirement.
- If the person has an ! mark, they need their ID to be verified.
- If the person has a ✓, they have consented to Vetting, and their ID has already been verified.
- If the person does not display a symbol, they nominated that they are not involved with participants under 18, and therefore do not require Police Vetting.
To verify a person's ID, click the magnifying glass to open their record and scroll to the section Police Vetting Requirements. Check the Physical Drivers Licence shown to you by the participant, and ensure this belongs to the participant and matches the Drivers Licence number on the registration form. Check the ID Verified field and click Submit. In the summary view, the ! will change to a ✓. The person will now have their record sent for Police Vetting.
If a person has already been allocated to a team, they will also display a ! when viewing their team.
Clicking on the ! will identify the reason's why the person is invalid. Click Check ID to open the registration record and verify their ID.
Reporting on participants that require ID Verification
Click the Export option in Teambuilder, then select the report ID verification required, and click Export.
An email will be sent to you that displays the names of all participants that require ID verification and a link you can click to open their registration form to complete the verification process with the participant.

Note: If a participant originally selected that they would be involved with Players under 18, and subsequently change their mind, when they update their registration form they should first uncheck their consent to police vetting before updating the question to show that they are not involved with Players under 18. If their consent for Police Vetting is not withdrawn first, they will still be displayed as requiring ID verification.
