Overview
Many national sports organisations such as Netball New Zealand and New Zealand Football as well as regional sports organisations such as College Sport Auckland, College Sport Wellington and School Sport Canterbury use the Sporty platform to manage sports tournaments and competitions.
To make it easier for schools to enter students into sports tournaments and competitions, Sporty has integrated with Edge student management system (formerly MUSAC). This integration lets schools access student details when logged into Sporty, making it easy to drag & drop students into teams and events without needing to manually enter the details of each student.
This integration is optional. If you prefer not to enable the integration, you can still register students into sport events and competitions manually (this is normally done through Sporty, since most organisers of school sports competitions use the Sporty platform). Alternatively, Sporty may be able to import student details from a CSV file if you prefer (please contact support@sportsground.com if you wish to learn more about this option).
The data fields normally required by school sports organisations for the purpose of managing competitions and ensuring the eligibility of students are:
FirstName, LastName, Gender, DateOfBirth, Address, CurrentYearLevel, DateOfFirstAttendence, PrimaryCaregiverEmail, PrimaryCaregiverPhone, Photo, PrimaryEthinicity, SecondaryEthinicity, SchoolLeavingDate.
Schools may also wish to enable sharing of Tutor and StudentID so that these fields can be seen and used by the school's sports coordinator(s) when they are logged into Sporty.
In addition, the data fields normally required by school sports organisations for health & safety purposes in case of emergency relating to a student includes the following details for the caregivers of students:
FirstName, LastName, Email, Mobile, Relationship, Address, IsEmergencyContact
Benefits of integration
If you do integrate Edge student management system with the Sporty platform, this gives your school increased functionality within Sporty, such as:
- You can avoid the manual entry of student details that are required by school sports competition managers, and;
- Student details can display automatically in the TeamBuilder utility within Sporty, making it quick and easy to drag and drop students into teams in a way that automatically meets the registration requirements of sports organising bodies, and;
- If you need to register a student to participate in school sport through a registration form on the Sporty platform, the system will be able to complete some known data from Edge for you. This can reduce human errors and avoid the extra effort that may be associated with collecting the extra data fields manually.
To enable the integration with Edge
1. Login to your Edge account.
2. Select Admin then Setup. From the Setup options, select School Settings.
3. Go to the External Providers section and tick the checkbox for "Sporty: Allow Sporty to access your data. A notification will be sent to Sporty when this setting is changed".
4. Click Save to confirm the updated settings.
Edge will automatically email a notification to Sporty so that the Support team at Sporty can configure that end of the integration. Please note that it may take 1-2 business days before your school roll becomes available to you when you are logged into Sporty.
Once configured, your school roll will appear in TeamBuilder as displayed below and the following actions become possible.
1. You can drag and drop students from the school roll directly into teams. For help with adding players to team, click here.
2. You can modify your existing registration forms or new registration forms to add the SCHOOL question fields as Admin Only fields. This means that when your students are registered through the Sporty platform, their school information can automatically appear on their form for you. IMPORTANT: Schools have a duty of care in relation to applicable privacy legislation in New Zealand regarding what data is shared, with whom, and for what purpose. Organisations that manage school sports events and competitions each have their own Privacy Policy and schools are encouraged to ensure you are satisfied with those policies before you enter teams/students into events, tournaments or competitions managed by any organisation.
